In Horizon Finance, contacts (i.e. customers or suppliers) are created at the Organisation or Fund level, and are shared across all entities within that group. This ensures consistency and reduces duplication.
If you're tagging bank transaction data and the contact you're looking for is not available in the dropdown, you may need to add the contact so that it becomes selectable.
📍 Important: Where to Create Contacts
🔒 You must navigate to the Organisation / Fund level to add or manage contacts.
If you access the Contacts screen from the Entity level, you will only see contacts already linked to that entity and will not have the option to create or update contacts.
🔍 Step 1: Search Before You Create
Before creating a new contact, always search first to avoid duplicates:
Navigate to your Organisation / Fund level

Go to Accounting → Contacts

Use the Contact Name filter to search for the name
Try all known versions (e.g. Legal Name, Trading As)
✅ If the Contact Already Exists
If the contact appears in the search:

Click into the contact

In the Contact Details panel, click the Edit (✏️) icon

On the Edit Contact screen:
Locate the “Add contact to entities” dropdown
Select the relevant entity/entities you have permission for
Mark the contact as a Customer, Supplier, or Both
Click Save
This contact is now available across the selected entities.
➕ If the Contact Does Not Exist
If your search returns no result, follow these steps to create a new contact:

From the Organisation / Fund level, click Create Contact

On the Create Contact screen:
Enter the Contact Name (required)
Select one or more entities from the “Add contact to entities” dropdown
Tick whether the contact is a Customer, Supplier, or Both

Optionally complete other fields such as address, phone number, email, etc.
Click Create
The new contact will now be available to select when tagging transactions for the entities you selected.
🧠 Quick Tips
Only Admins or users with appropriate permissions will see the "Create Contact" button.
Contacts cannot be created at the entity level—doing so requires access at the Organisation/Fund level.
Always double-check for name variations to avoid duplicate contacts.
